Equilibrium Retreats – Terms and Conditions
The following terms and conditions apply with respect to your Pilates, Presence & Purpose 2026 Retreat in Italy booking, and forms the basis of your contract with “Equilibrium Pilates Studio”.
Equilibrium Retreats – Terms and Conditions
General Agreement All bookings are made subject to the following terms and conditions. By confirming a reservation with Equilibrium Retreats, you acknowledge that you have the authority to accept these terms on behalf of yourself and any other participants included in your booking. A binding contract will exist once we have received your deposit or issued a formal confirmation/invoice—whichever occurs first.
Deposit and Booking Confirmation A non-refundable deposit of 40% per person is required at the time of booking. This secures your place on the retreat. In the unlikely event that we are unable to accept your booking or deliver the retreat due to unforeseen circumstances, your deposit will be refunded in full.
Final Payment The remaining balance is due no later than three months prior to the retreat start date. If full payment is not received by this deadline, we reserve the right to cancel your booking and retain the deposit.
Cancellation Policy Cancellations must be submitted in writing by the person who made the booking. The effective date of cancellation is the date we receive your written notice. The following cancellation charges apply:
Up to 28 days before retreat start: 50% of total cost
27 to 14 days before retreat start: 75% of total cost
13 days or fewer before retreat start: 100% of total cost
Travel and Health Insurance It is a condition of booking that all participants arrange comprehensive travel insurance. This should include coverage for medical expenses, personal belongings, trip cancellation, delays, personal liability, and emergency assistance.
Force Majeure We are not liable for cancellations or disruptions caused by events beyond our control, including but not limited to war, civil unrest, natural disasters, pandemics, industrial action, or extreme weather.
Changes to Itinerary or Accommodation We reserve the right to modify retreat arrangements if necessary. Should your chosen accommodation become unavailable, we will make every effort to provide a suitable alternative of equal standard.
Responsibility and Liability We take all reasonable steps to ensure the quality and safety of our retreats. We are responsible for the actions of our staff and partners acting within their roles. However, we cannot be held liable for third-party services outside our direct control.
Health and Safety Participants are expected to wear appropriate clothing and footwear during physical activities. Please inform us of any medical conditions or limitations prior to arrival so we can tailor your experience accordingly.
Lost Luggage and Personal Items We are not responsible for luggage lost in transit or while under the care of airlines or transport providers. We will assist where possible in recovering lost items.
Personal Risk Equilibrium Retreats is not liable for illness, injury, or death resulting from activities not organized or endorsed by us during your stay.
Minimum Numbers and Retreat Viability All retreats are subject to a minimum number of participants. If this number is not met, we reserve the right to cancel the retreat and refund all payments. We will not cancel within four weeks of the retreat start date unless due to circumstances beyond our control.
Complaints Procedure Any issues during the retreat should be reported immediately to our on-site coordinator. If unresolved, please submit a written report within 28 days of your return. We cannot accept liability for complaints not raised during the retreat or submitted after this period.
Travel Documentation All participants must hold a valid passport and meet any visa requirements for the destination country.
Governing Law This contract is governed by the laws of Victoria, Australia.
Transfers and Transport Group transfers are included in the retreat package where specified. If your travel plans fall outside the scheduled group transfer times, we can assist with private arrangements at an additional cost.
